WordPress staff rota plugin

rota application proposal PURPOSE To provide an easy to use, spread sheet type, Wordpress plugin to manage staff scheduling, annual leave, study leave, swaps, locum workers, rota gaps and bank holidays. This should also feed a weekly rota with available staff and allow allocation. OTHER APPLICATIONS On reviewing other rota apps these require each staff member to be entered on each day they are to work. Most of these rota applications assume the rota changes around the staff. For my application the rota stays constant but the staff change frequently. They are more complex than I require and more time consuming to set up. I have a large turnover of staff and need to be able to have a rota that is easily updated. PROPOSITION * I would like to be able to setup specific areas covered – ward, intensive care, neonatal unit * For each area I would need to be able to setup multiple rotas – senior staff, middle grade staff, junior staff and other staff rota. * Each rota will need to have an assigned rota manager and deputy rota manager. * Each rota should also be assigned a senior rota manager who oversees all rotas in a specific area. * Each rota should be assigned a number of staff eg 7 – which will create the number of columns needed in the rota. * Each slot should be assigned a staff member and their email address – ideally this should automatically update the members list and send them a username and password unless they are already known. * Each user will need a name, email, mobile number and their starting date and finishing date. If the finishing date is before the end of the rota a new person should be able to go into the same line on the rota. * If there is not enough staff the column should be assigned a locum slot – this should then provide a list of unfilled slots emailed to the rota manager and the senior rota manager. If a slot with a Late(L) or a Night(N) is uncovered in the week ahead – warning emails should be sent out daily to rota manager and senior rota manager * The time frame for the rota should be assigned (6 months – 1 year) – but should be able to be extended. * The default view should be a month – but should be able to have the full rota displayed or x amount of months * Column headings are the names of the staff * Row is the date * The rota will have different shifts – these could be indicated by a letter in the schedule L=Long D=Day N=Night H=Half Off=Off AL=Annual leave SL=Study leave * I would like to be able to click on dates and assign them as bank holidays as a rota manager. * The rota is a rolling rota so once a template is made for 1 person and the start date assigned it would need to automatically fill the rest of the rota so we do not need to fill in months of schedule for each person. * Staff should be able to login and look at the rota. We should be able to overlay the different rotas in each area – eg So we can see both senior staff, middle grade staff and junior staff all in one view or just one. * Staff should be able to click on their line and request annual leave, study leave, day owed or a swap. These should be indicated by a certain colour for a request – then changes to a definite colour when the rota manager has approved it. * If a swap they must click on the line of the person they wish to swap with – an email will go to that person to confirm they have agreed to the swap – Rota admin will have the final approval. * If study leave they must enter the reason for the study leave – personal study, course (if so what course), teaching (if so what), exams (if so what). * If day owed they should enter the day they are owed for. * I would like to be able to have a weekly view that will allow me to see all people on the rota for an area from all rotas. To aid in making a weekly assignment list. * Each user should be able to access the number of days study leave they have taken and for what reason, and how many days annual leave they have taken in the defined rota period and print this off.
