Booking and back office system

We are an executive car company who needs a booking and back office system. below are requirements Stage 1 Client Database Add/Edit client name address and contact details. Client search Drivers Add/Edit driver name, contact and documentation details. Cars Add/Edit car details, plate, MOT due etc. Car can be assigned to a specific driver. Bookings Bookings can be added. Client is selected and dates/times entered. A driver/car can be assigned to the booking at any time. Driver selection will be manual (ie they system will not show driver/car availability) Fields will be available for booking total and driver cost. Bookings will be displayed in a diary/ calendar view. Website Integrate website booking form. Client enters booking request and all the details entered stored in a booking requests database. An e-mail is sent to the client telling them their booking will be confirmed shortly. An e-mail is sent to the administrator telling them of the new booking request. They will then need to log into the system to view the specific details and then raise a booking and confirm to the customer as normal. For stage 1 there will be only one level of access. This will be the administrator who will be able to access all functionality. Stage 2 Client Database View clients past bookings. Facility to e-mail the client directly from the system. Drivers Driver search facility. Driver sickness or holidays can be entered so they are not shown as available for assignments. Cars Car search facility. Service history or maintenance issues can be logged against a car by date. Cars can be booked out for maintenance so they are not shown as available for assignments. Bookings Car and driver availability can be shown when assigning to a job. Search facility to search by client, car, driver, date etc Invoicing & Payments Invoices can be raised and printed on a booking by booking basis or in batch mode. A PDF of the invoice will be available for printing If desired invoices could also be e-mailed to the customer automatically. An invoice search facility will be available Invoices can be marked as paid and method of payment Reports Invoices can be exported to CSV for use in accounting software Various booking reports can be created (ie; car use, bookings by driver, top customers etc) A report generator is more complex, but can be achieved to a certain degree General There will be multiple users of the system with different access levels/privileges Drivers will be able to login and see their current and previous jobs Administrators will have access to all areas would be helpful if bookings could also be placed in the system using our iphone browser, opera.
