Billing and Tracking System

The sytem has three functional areas of an integrated solution. All areas will have security controlled user access via user login accounts. Planning: This function will allow Security Specialist to create and update weekly site/pickup run plans, including on demand printing of up to date daily run sheets. This will provide the basis of a shared database of clients, sites, collection plans and daily charge rates. Tracking: After the actual collection runs have been made, completed collection sheets are scanned and matched to the corresponding run plan, finalising actual collections and change services provided to each client. Exceptions, such as missing collection sheets, are reported for confirmation and/or resolution. When scanning is complete and the exceptions are reconciled the system will have:- a) The permanent image of all collections sheets for easy recall at any time, b) The validated actual services delivery records for exact customer invoicing, c) Exception to plan, including “Back To Base?? and non collections (etc), d) Audit history of planned and actual activities. This system will, in one simple data entry process, remove the manual sorting and filing effort, accurately compare and account for planned to actual collections activity, and provide for accurate invoicing without loss of data (and thus avoid loss of billings income). Billing: Client and site billing data will be extracted for importing into MYOB. Billing data will be able to be processed on a weekly or monthly billing basis by client or site as required. The inclusion in the system of daily charge rates by site will allow the billing data to be “invoice ready??. Support for client billing enquiries and traceability is improved. At any point in time the system can be used to find, view or print daily collection dockets, view or print future planned collection runs, and view or print historical records of planned and actual collections (or collection exceptions). ## Deliverables 1) Complete and fully-functional working program(s) in executable form as well as complete source code of all work done. 2) Deliverables must be in ready-to-run condition, as follows? (depending on the nature? of the deliverables): a)? For web sites or? other server-side deliverables intended to only ever exist in one place in the Buyer's environment--Deliverables must be installed by the Seller in ready-to-run condition in the Buyer's environment. b) For all others including desktop software or software the buyer intends to distribute: A software? installation package that will install the software in ready-to-run condition on the platform(s) specified in this bid request. 3) All deliverables will be considered "work made for hire" under U.S. Copyright law. Buyer will receive exclusive and complete copyrights to all work purchased. (No GPL, GNU, 3rd party components, etc. unless all copyright ramifications are explained AND AGREED TO by the buyer on the site per the coder's Seller Legal Agreement). ## Platform Access and MYOB compatible operating system Windows XP
