My name is John Freeman and I am the President of a small non-profit private organization on a U.S. Naval Base in Japan.
My organization conducts a twice-a-year Oriental Bazaar fundraising event. At this Bazaar we have between 20 to 25 separate vendors (companies) selling merchandise of which we receive a commission on their total sales (how my organization earns money.)
My Organization’s responsibility is to process customer payments and then attribute each sale to each different vendor. Each vendor writes up a separate receipt with their vendor number and total sales price listed. The customer will then bring to our cashiers many of these from different vendors, which will be added up and then the customer will pay the total to our cashiers via cash, check, post dated check, and recently credit card via square.
After the cashier has accepted the payment each receipt is manually entered into our excel spreadsheet so that each separate vendor gets their specific sale attributed to them (each is assigned a unique number.)
At the end of the bazaar (it is a two day event) we sort the data by vendor number and then pay that particular vendor their total net sales amount (gross sales minus our percentage.)
As you can see we use a pretty antiquated manual system which requires a lot of paperwork and manual inputting and lots of duplicated work.
Ideally I would like to use some kind of a POS system in combination with an online database system (Google Docs?) where the cashier can attribute each receipt total to each individual vendor and then change the customer the total of all the receipts. After which we would be able to run a report for each separate vendor number and see their total gross sales and their total net sales (amount we need to pay them.) Is this possible?
We typically generate $160,000 to $200,000 in gross sales at these two day events thus we need to run a lot of volume across 6 separate cashiers.
I would sincerely appreciate your suggestions, ideas, and inputs.
