AV equipment for conferences

Hi there,

My name is Petra Martínková and I represent an Events Management Company based in Prague in Czech Republic.

I am looking for an AV company, which will provide us AV equipment and AV service for our conferences in London and Berlin. Each conference is usually 2 days/10 hours per day. We require following equipmen:

4x Clip-on microphone

2x Hand-held microphone

2x Comfort monitor for speakers

2x Loud spekers

1x Countdown timer

1x Technician

Budget: 1000 GBP, 1200 EUR

I am also looking for a photographer and video grapher. We require following from both:

Photos:

• Speakers addressing topics – close up

• Speakers addressing topics with all attendees in the picture (photo taking from the back of the room) – whole room

• Attendees listening to speakers – close ups

• Attendees listening to speakers – whole room

• Attendees discusing topics in groups (formal envirnonment e.g. coffee break) – close ups

• Attendees discusing topics in groups (formal envirnonment e.g. coffee break) – whole room

• Attendees networking with each ohter (infomal environment, in the evening, calmer atmoshpere) – close ups

• Attendees speaking with speakers – personal conversations (formal/informal environment) – close ups

• Panel discussion – close up on speakers

• Attendees recieving conference packages and promo materials (from sponsors, media partners, etc.)

• Attendees at the admission

• Attendes speaking/asking question to the plenary/to the speaker – close up

Video:

• Attendees coming to empty conference room

• Attendees at the admission – close up on attendees

• Attendees at the admission – close up on the organizers

• Speakers addressing topics – close up

• Speakers addressing topics with all attendees in the picture (photo taking from the back of the room) – whole room

• Attendees listening to speakers – close ups

• Attendees listening to speakers – whole room

• Attendees discusing topics in groups (formal envirnonment e.g. coffee break) – close ups

Note for photographer and cameraman:

• The I would like to capture:

o The event is for top skilled and most knowledgeble people within the subsea/interconnection/power cable industry

o The event is quite expensive and designed for top clientelle

o The event is proffessionally organized

o The event is small-sclae based and focused on interaction between attendees

o The events providing the attendees with best possible knowledge

• The materials will be used for following promotional purposes, so please keep that in mind and capture good moments, that can be used there.

o Website (photos)

o Social media (photos)

o Banners (photos)

o Promo video (both photos and video materials)

o Event Report (both photos and video materials)

Budget: Videographer 450 EUR/2 days, Photographer 250 EUR/2 days.
